This position oversees all foundation student scholarship activity, conducts outreach with alumni friends, and donors, and oversees donor and alumn events in the College of EHHD. Contract Type Classified Salary If other, please specify Recruitment Type Open Position Details General Statement The mission of the College of Education, Health and Human Development (EHHD) is to prepare highly qualified professionals through exemplary programs, advance knowledge about education, health, and human development, and serve the people of Montana and the nation through outreach and practical application of its expertise. Our college is home to a wide variety of programs that fulfill Montana's land grant mission of providing services to the people of Montana and beyond. - Training teachers for elementary and secondary classrooms. - Supporting grandparents who are raising their grandchildren. - Helping soldiers and other professionals become teachers. - Partnering with leaders on Native American reservations to advance wellness and improve education for children and adults. - Educating families on healthy nutrition and physical activities choices. Duties and Responsibilities This position requires the exercise of independent authority, professional judgment, initiative, and discretion in all aspects of communications planning, development and execution of college outreach, and scholarship program implementation as related to the specific duties below: - The person in this position has editorial discretion over all publications including a weekly electronic announcement publication to all EHHD faculty, adjuncts, and staff; a monthly communications series sent to EHHD faculty and staff, as well as all campus administrators, deans, MSU Communications, State Superintendent of Schools, state health and human services; alumni/ donors publications; and the college's annual report. This function is vital to increasing visibility of the college with donors, alumni, communities, and other universities across the nation. Work with EHHD dean's office staff to provide oversight and management of EHHD and departmental websites. - Initiate the planning and organizing of ongoing public relations advisory committee meetings to get feedback and new ideas on promoting the College. Oversee EHHD's Marketing and Communications Plan. - Serve as coordinating liaison between MSU Alumni Foundation, Financial Aid, Parent Family Association, President's and Provost's Offices, and MSU Communications to coordinate communication/marketing/branding and also for the College's special events. - Organize and execute all donor, alumni, and graduation events for the college in proficient manner, which includes the supervision of administrative staff and providing oversight of the budget for the events to ensure that events reflect positively on the college. Must assume responsibility and decision making authority within the defined scope of each event. - Plan and initiate the college scholarship award process from application to award. Design flyer and social media/email communications for advertising scholarships to students, maintain web site and electronic application, direct and monitor the work of dean's office's student worker and the scholarship selection committees/groups, compile and sort application data for scholarship committees, work with MSUAF to insure proper funding for scholarships, work with financial aid to determine qualifications of applicants, and notify students of scholarship award. - Participate and contribute as a fully engaged participant of the Dean's Office Staffing Team. - Oversee Admin III and/or student worker in their alumni relations, event, and scholarship support duties. - Provide general office support and dean's office reception and customer service. Secondary duties assigned to this position: - Assist with content, maintain content, maintenance, and update websites for two departments to ensure compliance with MSU Communications' policies and branding - Actively maintain and update the college website and college social media sites to ensure accuracy, thoroughness, and effectiveness. This is accomplished with full compliance with MSU communications' policies and branding. Required Qualifications - Experience, Education, Knowledge & Skills - Bachelor's degree in related field or progressively responsible administrative work experience with an emphasis on customer service in a main office setting or an equivalent combination of relevant education and/or experience. - Proven experience in communications, public affairs, or marketing, inclusive of web design and publishing programs. - Effectively manage large volumes of sensitive data and protecting confidential records. - Excellent customer service skills and competence effectively interpreting and communicating detailed information, procedures, and directions clearly and accurately, in person, by telephone, and through business correspondence to a wide variety of individuals both internal and external to the organization. - Competency in organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude. - Competency in using personal computers and various software such as word processing, spreadsheets, database, website, presentation, email and internet. Microsoft Office software preferred. Preferred Qualifications - Experience, Education, Knowledge & Skills - Excellent written and oral communication skills and proficiency in Microsoft Office programs and Outlook. - Proven experience in event planning. - Familiarity of MSU programs, faculty and alumni activities, and university academic culture. Demonstrate competence organizing complex workloads, meeting deadlines, adapting to changing priorities and working on multiple projects. - Perform with a high level of attention to detail and accuracy. - Self-motivated and shows good judgment and ability to independently follow through on tasks and projects to completion and work independently and effectively under minimum supervision. - Handle complex and confidential information with discretion and apply strong analytical skills and good judgment. - Have the aptitude for problem solving and facilitating the work of others and capacity for leadership. - Represent the Dean's Office and College of Education, Health and Human Development (EHHD) and MSU to others in a professional and courteous manner.
