MSU Billings is unique in that it is one of a select few higher education institutions that also boasts an embedded two-year community college. The University opened in 1927 and was initially called Eastern Montana State Normal School at Billings and was established to prepare teachers for elementary schools in eastern Montana. MSU Billings has grown, with the city of Billings and Yellowstone County, into the major urban comprehensive higher education center of south central and eastern Montana. The University campus consists of four colleges: the College of Arts and Sciences, the College of Business, the College of Education and the College of Allied Health Professions. Seven miles west of the University campus sits City College at MSU Billings, which serves the comprehensive two-year mission of the university. Duties and Responsibilities The Program Coordinator will have the following responsibilities: Acting as Receptionist to a busy office (phones, email, walk-ins) Administrative duties including, but not limited to scheduling appointments, making copies, bulk mailing, getting the mail and distributing, working with various MSUB departmental forms (payroll, human services, information technology, etc.), sending out greeting cards to students, and ordering, inventorying, and organizing supplies, etc. Financial responsibilities including but not limited to reconciling monthly credit card statements and managing, reconciling, and reporting monthly budget. Entering data into the SSS database (Blumen) and ensuring all filing is accurate and up to-date. Working directly with students and providing student advocacy. Maintaining bulletin boards with SSS / TRIO activities Assisting with various events (planning, preparing budgets, participating, etc.) - some weeknights and weekends necessary. Helping to market the SSS program; participating in the identification and selection process of program participants. Helping to hire, train, supervise and evaluate office aide(s) - student workers. Other duties as assigned. Required Qualifications - Experience, Education, Knowledge & Skills Bachelor's Degree and two years of office management experience and supervision of personnel; OR any equivalent combination of experience, education, and training which provides the necessary knowledge, skills, and abilities. Ability to establish and maintain effective working relationships with diverse persons. Budget administration, knowledge of office technology and equipment. Experience working with TRIO programs or with students who are low-income, first generation, and/or disabled.
