Job Description:

Responsible for leading provider recruitment and retention for Bozeman Health. Serves as an internal provider recruiter and retention consultant, working with internal and external partners as necessary to provide the organization with talent management expertise. This role forms a strategic business partnership with leadership, physicians, and hiring managers within Bozeman Health. Fully participates in other Human Resources initiatives as needed.This position reports to the System Manager of Talent Acquisition and Retention within a system shared services structure. Travel to all entities is required at a minumum once a quarter or more often as needed.REQUIREMENTSEDUCATIONRequired:Graduate of a four-year college or university with a degree in business administration, communication, marketing, public relations or similar, or equivalent experience preferredPreferred:N/ALICENSURE and CERTIFICATIONRequired:N/APreferred:Certified Medical Staff Recruiter (CMSR) or Association of Staff Physician Recruiters FellowshipEXPERIENCERequired:Minimum of 3-5 years of experience in healthcare recruitment. Understanding of Physician and ACP specialties. Outstanding organizational and project management abilities. Excellent verbal/written communication; skilled in facilitation, presentation and negotiation. Excellent analytical and critical thinking skills. Computer skills in Microsoft Office (Word, Excel, Access, PowerPoint and Outlook) for email, scheduling, and navigation of the hospital's computer systems. Experience in developing relationships with physicians, including identifying needs, communicating with, and responding to the needs of the medical staff. Availability outside of business hours and weekends for calls/candidate interviews.Ability to work under pressure and changing deadlines and the adaptability to change required.Preferred:Physician/Provider recruitment background is preferred with specific knowledge of the medical/physician/APC community. Knowledge of Stark Laws, anti kickback and immigration recruitment. Experience with provider compensation.Previous experience in a multi-faceted role preferred with specific knowledge spanning a multitude of service lines and the broader medical/physician community. Marketing/advertising experience. Experience working in a matrixed organization preferred .KNOWLEDGE OF, SKILLS IN, ABILITY TO, COMPLEXITY AND DIFFICULY:KNOWLEDGE OF:Personnel and Human Resources - Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systemsKnowledge of applicant tracking systems, human capital management systems or talent management systems. Knowledge of federal, state and local laws related to employment, affirmative action, OFCCP, EEO, FCRA and other emerging requirements.Knowledge of provider onboarding and credentialing process. Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Experience with technology-based recruiting tools including social media, talent attraction/engagement platforms, search engine optimization, virtual career fairs, etc.SKILLS IN:Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Ability to multi-task, plan and prioritize a large volume of detail-oriented workCOMPLEXITY AND DIFFICULTY:Works mostly independent with some direction from the System Manager of Talent AcquisitionESSENTIAL FUNCTIONS45% Time Spent - Recruitment Perform full cycle recruitment for all providers at Bozeman Health Partner with Hiring System Directors to create and review job descriptions and practice opportunities, defining and validating key position requirements Source passive candidates through networking, cold calling, and complex internet searches and research Source active candidates from on-line databases, contact lists, internal databases, and employee referrals Pre-screen and assess candidates for a variety of skill sets and multiple positions to include locums, contract, contract to perm and permanent placement opportunities. Utilize all aspects of the applicant tracking system at the expert level Maintain and track various sourcing and recruitment metrics Works directly with Marketing and Communications of Bozeman Health and hiring authority(s) for recruitment marketing and advertisement development Advertises all employed vacancies including attendance or coordination of job fairs/ Association Annual Meetings, using various researched sources Assist with Reference checking through skill survey for all providers Maintain a pipeline of qualified candidates for future consideration. Maintain meticulous records of candidate outreach and contact in applicant tracking system Coordinate and facilitate on-site visits for candidates and spouse when applicable. This may include, but is not limited to, making arrangements for travel, lodging, transportation to and from interviews, meals, community tour and additional community aspects and developing interview itineraries. Coordination of Locums and travelers including posting position, working with agency for scheduling, appropriate paperwork, orientation, billing, housing, and travel. Manages inventory and assembles collateral and marketing materials for recruitment team daily use as well as special events including exhibits, job fairs, conferences and program presentation Stay abreast of recruiting industry standards, changes, challenges and development20% Time Spent - OnboardingMaintain the onboarding and documentation needed for completion of the pre-employment process for providers starting at Bozeman Health. Coordinates all pre-employment activities that includes but not limited to completion of malpractice applications, Payor Insurance Applications and required pre-employment paperwork from Human Resources Develop and provide weekly and monthly recruiting reports to Clinical System Directors, CMO, COO, and System Manager of Talent Acquisition and Retention Provider Orientation for all providers which are credentialed by BH employed and non-employed and develop additional components as necessary for specialty and new functions at BH. Develops, updates and maintains the physician/provider orientation manual for BH10% Time Spent - Reports and Trend Analysis Assist with development and tracking annual provider recruitment budget to include costs associated with recruitment search fees, travel costs for interviews, relocation costs, and sign on/relocation/retention bonuses. Provide monthly physician recruitment update reports to appropriate leadership and hiring managers. Processes incoming invoices and expense statements including auditing for accuracy, supporting documentation, coding appropriately and obtaining approval and signature from the appropriate leader to then submit to AP Track, report, compare, and analyze trends related to recruitment metrics to leadership, hiring managers, physicians and HR leadership. Present benchmarking reports to appropriate leaderships and hiring managers Track and report advertising and marketing costs for provider recruitment Facilitate, track and report on Onboarding of providers utilizing programs like docusign and smart sheet 20% Time Spent - Business PartnerActs as a business partner for Hiring managers, physicians, executive team, and HR. Collaborate with HR team members to provide a "one stop shop" for the Provider recruitment and onboarding. Act as a point person for questions and provide a high level of customer service. Assist with questions including compensation, benefits, FMLA, conflict resolution, etc. Serves as a trusted and credible partner providing expert employee relations and consultative services to management, staff, and team members Relationship management and coordination with vendors including relocation companies, hotels, rental car agencies, airlines, and realtors Provides input, as needed, into the physician recruitment budget to continuously focus on improved resource allocation. Manages costs effectively, negotiates best rates on travel arrangements and other vendor services. Identify, recommend and implement effective improvements to processes Attends recruitment team meetings and contributes to department goals by informing strategy to advance efforts Develop and conduct presentations, trainings, and workshops regarding HR initiatives and topics Provide advice and counsel based on knowledge and understanding of HR laws, practices and procedures: processes; policies, and guidelines Additional Job Functions Ability to consistently foster a positive work environment and effective team player.
