Classification Title Managing Director Working Title Associate Director of Admissions for Application Processing/Evaluation Brief Position Overview The Office of Admissions at Montana State University is responsible for a wide variety of initiatives, strategies, and programs which have a vital impact on Montana State University's success in meeting and surpassing aggressive new undergraduate enrollment goals. Primary areas of responsibility within the office include undergraduate pipeline development, marketing, recruitment, application processing, transfer evaluation/articulation, residency determination, new student scholarship marketing/optimization and orientation for new undergraduate students at Montana State University. The person in this position directly supervises eight Application Evaluators who handle undergraduate application evaluation/processing, transfer credit evaluation/articulation, and residency determination. It is essential for the person in this position to possess strong managerial skills and to utilize well-developed communication and technical skills, along with innovative tactics to ensure undergraduate enrollment success. Contract Type MUS If other, please specify Recruitment Type Open Position Details General Statement The mission of the Office of Admissions at Montana State University is to oversee new student enrollment management and undergraduate recruitment. The Office of Admissions is engaged in providing accurate and timely information to diverse populations including all prospective undergraduate freshmen, transfer and non-degree students and family members. The goal of the Office of Admissions is to represent the University in a positive and professional manner, while providing the highest level of customer service to all our constituents. The Office of Admissions operates within the Division of Student Success and reports to the Vice President for Student Success. Staff within the Office of Admissions are charged with meeting/exceeding aggressive new undergraduate enrollment goals. Due to the importance of tuition revenue, meeting these goals has a significant impact on the financial well-being of the entire institution. Duties and Responsibilities The following duties fall under the supervision of the Associate Director of Admissions for Application Processing/Evaluation: - Assumes a functional/technical role for the office in bridging the gap between the Montana State University technical side (UIT staff) and the functional side (end-users) of the application evaluation unit. Coordinates the communication between functional users and the software development staff by preparing highly technical definition documents of the functional needs, using his/her technical knowledge of the Banner system. - Responsible for full supervision and training of 8 full-time classified Admissions Evaluator Supervisors. Well-developed team building, communication and leadership skills are essential for this role. - Responsible for the supervision and training of all MSU staff members who interpret, comply with and implement Board of Regents and Montana State University academic and procedural policies as they relate to the processing of 22,000+ undergraduate applications for admission annually (both 4-year and 2-year programs). - Overall responsibility for and training of all staff responsible for the assessment of new undergraduate student credentials, evaluation of transferability and equivalency of college credits, verification of accreditation status of schools and courses and approval of formal admission for all undergraduate applicants to Montana State University. - Responsible for maintaining the online Admissions Checklist. This is a tool for prospective students to remain informed of their status and progress in fulfilling requirements for admission, transcript evaluation, scholarships, financial aid, housing, and orientation. This role requires a great deal of technical expertise/troubleshooting. - Interacts directly with incoming and prospective students, parents, faculty, administrators, and staff. - Represents MSU and the Director of Admissions to Montana University System (MUS), state, regional and national constituencies in a professional and proactive manner. - Works with the athletic department to verify the admissibility of athletes in compliance with NCAA regulations. - Plans and organizes staffing and financial resources for the application processing/evaluation unit. - As the volume of applications grows, there is an increasing need to balance available staff and financial resources in order to respond to the growth in the most cost-effective manner without a reduction in customer service. In order to effectively achieve this balance, this position must have the ability to integrate and/or change processes using any technical advancement available while maintaining the highest level of customer service during any procedural changes. - Responsible for all new undergraduate residency determination and policies relating to all new undergraduate applicants. Interprets, complies with and implements Board of Regents residency policies, including training all staff and updating applications, information brochures and website shared with applicants and their families - Consults with the Office of International Programs regarding the admission of international students, evaluation of international credentials, and assists in on-going training. - Assists/consults with academic departments and the Office of the Provost regarding course articulation agreements between institutions (Montana and out-of-state institutions) to determine transferability of academic credit and executes exceptions to MUS and MSU policy. Works closely with the Academic Advising Council regarding course articulation, etc. - Works with the Office of the Provost to determine/process the MSU equivalencies for all Advanced Placement (AP), International Baccalaureate (IB), and similar high school credit programs. - Manage all early admit processes for high school students/families. - Provides data, guidance and advice on recruitment and admission issues throughout campus. - Maintains and updates high school and college CEEB code tables for all four MSU campuses. - Responsible for design/update/web presence for seven MSU application versions. - Responsible for daily import of all undergraduate application data into Banner utilizing Axiom software. - Works with OCHE (Office of the Commissioner of Higher Education) and the MSU Office of the Registrar in maintaining Common Course Numbering integrity. - Works with technical staff to constantly assess and plan for the ever-changing technological needs necessary to manage the application processing operations. - Researches and implements cutting-edge technologies within the application evaluation world to provide optimal efficiency and effectiveness for the MSU undergraduate application evaluation unit. Works with other technical staff to constantly assess and plan for the ever-changing technological needs necessary to manage the admissions application processing operations - Fosters a data-informed culture to shape strategic directions and make appropriate adjustments to application evaluation unit; regularly reassess accuracy and effectiveness of activities and makes appropriate adjustments to lead an effort that is proactive, strategic and responsive. Required Qualifications - Experience, Education, Knowledge & Skills - Bachelor's degree. - General knowledge of university-level admissions principles related to undergraduate admission. - Experience in the interpretation and application of complex requirements for freshman, transfer, non-degree, early admit and dual-enrollment admission processes. - Experience in the application and analysis of widely varying types of student records, including international documents. - Must have demonstrated exceptional experience supervising, training, motivating and leading direct-report employees. - Must have an advanced knowledge of Microsoft Access using Access tools and SQL for query generation in order to respond to ever-changing needs for reports and data regarding recruitment and applicant information. - Must have the knowledge and/or be willing to learn additional programs such as Argos and FormFusion in order to affect change in reporting and letter generation. - Must have thorough knowledge of data structures for extraction and integration into external systems. Preferred Qualifications - Experience, Education, Knowledge & Skills - Experience with relational databases and word processing/imaging software. - Demonstrated ability to make independent decisions regarding transfer credit from other institutions and course equivalencies, with knowledge and ability to be flexible in applying guidelines in individual or unique situations. - Excellent interpersonal skills, sensitivity to the needs of a diverse prospective student population, a commitment to quality teamwork, and initiative, independence, and motivation are required. - Detailed knowledge of principles surrounding academic programs, opportunities, and services available for students, University policies, procedures, deadlines and practices related to undergraduate admission.
