The Office of Health Advancement educates, empowers, and energizes the MSU community to thrive through a balanced lifestyle. Duties and Responsibilities + Provide administrative support for Director, Health Advancement. + Perform tasks as assigned by Director of OHA, appointment scheduling, electronic medical record maintenance, greet arriving clients. + Manage electronic patient appointment system (includes scheduling visits for dietitians, travel, well-coaching). + Maintain electronic records as necessary + Oversee patient check-in. Arrange for referral appointments for patients. + Procure services and supplies for OHA. Pay invoices and maintain financial account assigned to OHA in Banner. + Overall management of OHA budget; Monitor budgets of auxiliary/designated/gift/grant/foundation accounts. Assure that appropriate purchasing, travel and other MSU accounting procedures are followed, pay invoices following MSU procedures, assure that grant requirements are met, appropriately manage use of MSU purchasing card. Manage financial commitments, expense processing (BPA's and P-card) keep appraised of any budget issues. Review budget of grants, coordinate payments and disbursements and inform recipients of outcomes. + Coordinate details of workshops and sessions to include room reservations, equipment, recording of events, advertising, catering, registration, website materials and coordinating details with presenters. Compile assessments. Includes several special events that require additional planning, preparation and coordination with administrative units, colleges and Departments. Coordinate major projects. + Provide support for appropriate committees, website and focus groups + Compile assessment summaries at the end of the academic year for individual workshops individual programs and overall program assessment. + Assist with editing promotional materials, website maintenance to include managing content and online submissions, workshop registrations and various web related aspects. + Provide administrative support for the VOICE Center including management of budget and fiscal affairs. Required Qualifications - Experience, Education, Knowledge & Skills + Progressively responsible administrative work experience with an emphasis on customer service in a main office setting or an equivalent combination of relevant education and/or experience. + Demonstrated experience managing budgets and computerized accounting systems in a business or governmental setting. + Demonstrated experience using personal computers and various software such as word processing, spreadsheets, database, presentation, email and internet. Microsoft Office software preferred. + Experience providing general administrative support for a business or government entity. Preferred Qualifications - Experience, Education, Knowledge & Skills + Experience providing administrative support for an educational or health care organization. + Experience with accounting processes including working with relational database.
