The office is moving from one of data processing to an office of technology management in support of university business needs. We identify, support, and create systems that allow people to self-direct their enrollment transactions at their point of readiness, with clear directions and minimal barriers.

Specifically, the Registrar's Office is the data steward for student data, and the responsibility of this position is to serve related data needs to clients across departments and faculty at Montana State University. While this includes fulfilling ad-hoc data requests, a key focus for the position will be to identify recurring data needs, standardize them, and turn them into automated self-service reports or OLAP cubes for end-users. Those self-service reports will be hosted on the ARGOS platform. This position will need to become a technology expert in the enrollment systems most used by the Registrar's Office (Banner, DegreeWorks, Ad Astra, CourseLeaf, ARGOS , and College Scheduler) and the related data structures. The position leads the effort to leverage and maximize the existing software tools to meet the changing demands in enrollment management. The Registrar's Office is responsible for maintaining accurate and complete academic records for each student, past, and present, by providing an unabridged record of all academic enrollments and degrees.

The highest level of customer service is provided to more than 13,000 students each semester for advising and registration, over 2,500 degrees are awarded annually, and the Registrar's Office staff serves as a resource for students, faculty, staff, and the general public to interpret academic policies, explain the appropriate course of action and provide viable solutions to educational objectives. Duties and Responsibilities This position leads the report generation and reporting automation efforts for the Registrar's Office. A critical success criteria for this position will be to establish standardization, automation, and user self-service that minimizes the need for ad-hoc report requests. With this, the position will improve access to data, reduce wait-times, and democratize data needs, enabling users across Montana State University to make business decisions faster and more accurately.

The following is an overview of the current reporting environment. The reporting requirements of the office, campus, and system change regularly. This position helps to anticipate those future changes and is focused on creating efficiencies in current reporting practices that in turn provide new resource cycles to accommodate future reporting needs (moving some standard reporting to Argos, for example).

  • CourseLeaf
    - User access, audit of users and extracting data from CourseLeaf to support a variety of business functions in the university.
  • Ad Astra Reporting
    - Verify data reported by Platinum Analytics with data provided directly through Banner and DegreeWorks
  • Argos - Report Usage, Modification, and Testing
    - Converting internal Access reports to Argos when possible
  • Student data (Banner) reports (on-going and ad hoc) for on and off - campus constituents:
    - Departments and Colleges - Enrollment and course reporting
    - Administrative Departments
    - Registrar Office
  • Verification of Reporting accuracy for currently available self-service reporting as well as creating modification of reports when necessary. Required Qualifications - Experience, Education, Knowledge & Skills
    • Baccalaureate Degree in related field or an equivalent combination of education and/or experience.
    • Strong SQL and reporting experience
    • Demonstrated experience with ERP / CRM systems
    • Demonstrated experience with reporting automation systems (e.g. Argos, Tableau) Preferred Qualifications - Experience, Education, Knowledge & Skills
      • Demonstrated experience in one or more of the following data systems: Banner, DegreeWorks, Course Leaf, and/or Ad Astra.
      • Experience working in a regionally accredited, comparable University community & environment
      • Demonstrated knowledge to handle the responsibility of large volumes of student data in a secure fashion in accordance with FERPA and other regulations as applicable
      • Demonstrated experience with data migration/sharing between enterprise systems and secondary applications The Successful Candidate Will
        • Critical and Creative thinking to solve problems at the interface of business practice, software application, data storage, and data retrieval
        • Ability/mastery of synthesizing business practices into written documentation
        • Ability/mastery of communicating technological environment to non-technical people
